Criteria for being allocated a stand

Aarhus City Welcome aims to give international professionals, their partners, families, and students relevant information to help them:

  • set up life in Aarhus and navigate Danish society
  • become part of lasting communities

At Aarhus City Welcome the target group can find relevant information within the following categories: 

  • Public authorities
  • Networking and communities
  • Job search and work-life
  • Learning Danish
  • Volunteering
  • Culture, media and creativity
  • Sport and leisure
  • Children and young people

The City of Aarhus wishes to ensure that Aarhus City Welcome offers exhibitors in each category and in correspondence with the space available at Dokk1.

We therefore reserve the right to either offer a stand or decline the application for a stand based on an assessment of the relevance of an exhibitor vis-a-vis the target group of Aarhus City Welcome,  the purpose of Aarhus City Welcome and the space available.

Special note on Danish language training providers:

We can only offer a stand to the language school(s) that has a referral agreement with the City of Aarhus.

We are not able to provide a stand for:

  • Commercial businesses or other private companies such as banks, relocators, insurance companies, and others providing a commercial service.
  • Political organisations/communities and religious communities.

Important information

Application for a stand at the Information Bazaar at Aarhus City Welcome 2026 is open until August 20.

Your organisation, association or authority will hear from us after this date. We will contact you using the email you provided in the application and either confirm you as an exhibitor at ACW2026 or, unfortunately,  decline your application should it not correspond with the criteria above. 

If an extension of the deadline for applications is needed due to the number of stands available, a new deadline for applications will be announced on this page.

It will also be announced whether it is only within certain categories (mentioned above) that stands are still available.     

If your organisation, association or authority has been confirmed as an exhibitor at ACW2026, your participation is binding. 

LUNCH: Lunch will be provided during Aarhus City Welcome all exhibitors. We will therefore need to know how many you will be at your stand (maximum 4) and whether you have any dietary concerns.

Practical information to confirmed exhibitors at ACW2026

Aarhus City Welcome 2026 takes place on Saturday September 19 from 11.00 to 15.00 at Dokk1.

You are welcome to set up your stand from 10.15.

We'll be ready to welcome you in the area next to the Information Desk at level 1 (in front of the elevators) and point you to your stand.

You can be up to 4 representatives at your stand.

We can only secure lunch for the number of people we know are present. 

The stand is approximately 2,5 x 2,5 meters.

A tall café table will be at your disposal. If two organisations share a stand, you will have two tables.

The name of your organisation, association, or authority will be on the table. 

It’s not possible to hang something from the ceiling or to put something on walls or windows.

On your stand, there will be stickers to use as name tags.

We encourage you to wear clothes and bring roll-ups or similar that catch the eye and let people know what organisation, association, or authority you are representing.

Please do always have at least one representative from your organisation, association or authority present at your stand. 

Please bring information material in English about your offers. 

Lunch, coffee and water is available in the VIP / lunch room - M2 on level 1 - next to the café.

There will be a sign on the door. 

Catering is provided for all exhibitors, speakers, panellists, 'living books' and volunteers 

Catering at Dokk1 is always vegetarian.

For sustainability reasons we encourage you to bring your own water bottle - please find water stations in the lunch room (M2 at level 1).

There will be a power socket at all stands at the Information Bazaar.

Please bring your own power cord. 

Please switch on Wifi on your device and select the SmartAarhus-network (free) and use the SMS login.

Enter your mobile number (incl. country code) to receive a text-message containing a one-time code to acces free internet. 

The nearest parking is under Dokk1. It is paid parking. 

A film crew/photographers will take photos and record videos to use as promotional material for next year’s Aarhus City Welcome and possibly other events.

The film crew may ask some of the organisations present to share their thoughts on ACW2026 for use in next year’s promotional videos. If you agree, they will ask for your name and date of birth so that we can identify the material if you later contact us and request that footage featuring you be withdrawn.

Please use the official promotion material to let everyone know that you are participating in Aarhus City Wlecome 2026.
